When an organization represents an entire industry, efficient communication and seamless access to information are not just operational needs, they are strategic priorities. Assuralia, the professional union of insurance companies in Belgium, was facing this exact challenge. As its internal platform became outdated and increasingly difficult to maintain, the federation needed a more modern and sustainable approach to collaboration and content sharing.
By partnering with IRIS IMS and implementing Microsoft SharePoint Online, Assuralia successfully transformed its digital environment, enabling more efficient collaboration, improved information sharing, and stronger engagement with its members.
Assuralia plays a central role in the Belgian insurance ecosystem. Representing nearly all Belgian and foreign insurance companies active on the market, the federation acts as both a voice for the sector and a center of expertise. Founded over a century ago and headquartered in Brussels, it facilitates dialogue with public authorities and fosters collaboration across the industry. In such a context, the ability to share accurate, up-to-date information efficiently is essential.
The Challenges
Over time, Assuralia’s internal platform had become obsolete and increasingly limiting. The system no longer supported the federation’s evolving needs in terms of document collaboration, content sharing, and communication with its members.
Daily operations were impacted by a lack of flexibility and an outdated user experience, making it more difficult to manage and distribute information effectively. At the same time, the platform was no longer supported by its editor, creating growing concerns around stability, security, and long-term sustainability.
Originally implemented in 2002, the legacy platform also needed to preserve years of accumulated content, existing access rights, and collaboration structures while transitioning toward a modern environment.
Without the possibility to evolve or integrate with modern tools, the existing system had become a barrier to efficiency rather than an enabler of collaboration.

The solution
To address these challenges, IRIS began with a comprehensive analysis of Assuralia’s needs, reviewing internal processes, document workflows, and communication requirements. This assessment clearly highlighted the need for a modern, flexible, and user-friendly platform capable of supporting collaboration across teams and members while remaining easy to manage and scalable over time.
Based on these insights, Assuralia chose to implement SharePoint Online, part of the Microsoft 365 ecosystem. This cloud-based platform provides a secure and centralized environment for managing and sharing information, combined with an intuitive user experience that simplifies access to content and enhances collaboration.
A key part of the project was the migration of essential content from the legacy system.
Results
The platform provides a centralized environment for managing and sharing essential content, enabling more efficient collaboration between teams and smoother communication with members.
The migration successfully transferred more than 350,000 documents while maintaining structured access for over 53,000 internal and external users, ensuring continuity, security, and seamless adoption of the new environment.
Key outcomes include:
“In a SharePoint project like this, maintaining and continuously evolving the platform is essential. The challenge is ensuring it remains relevant and continues to deliver value over time.”

Thanks to a structured approach and clear communication, the transition was carried out smoothly, supporting user adoption and enabling teams and members to quickly benefit from the new collaborative environment.
“Assuralia has always maintained a strong relationship with IRIS IMS. When implementing this new solution, it was natural for us to rely once again on their expertise and support.”

Conclusion
Through its collaboration with IRIS IMS, Assuralia successfully laid the foundations for a modern, secure, and collaborative digital workplace.
With SharePoint Online in place, the federation now benefits from a centralized and scalable platform that supports knowledge sharing, strengthens collaboration, and enhances engagement with its members.
This transformation represents more than a technological upgrade, it is a step toward more efficient, connected, and future-ready operations.
